European Training Calendar 

If you are interested in applying for a call in the European Training Calendar 

How much is the participation fee for a training activity? 

The participation fee depends on who organises the activity and how it is financed. If the activity is organised by a National Agency, it will say so in brackets behind the name of the organiser: (National Agency). In such a case, please contact your National Agency or the SALTO Resource Centre of your region to enquire about the participation fee. You can find the contact details of all National Agencies here: https://erasmus-plus.ec.europa.eu/contacts/national-agencies. When you contact your National Agency or the SALTO Resource Centre, please be specific about which training activity you are interested in.  

If the organiser of the activity is not a National Agency, please contact the organiser to enquire about the participation fee. 

I am not a youth worker or a trainer. Can I apply to trainings in the European Training Calendar? 

All calls published in the European Training Calendar are meant for youth work community of practise: youth workers, youth leaders trainers, mentors, and others. Specific calls may address more specific target groups. For finding out to whom the training activity fits best, look out for the section “Best for” in the box on the right of the call for participants.

I do not have an organisation; can I apply for a training activity? 

All calls published in the European Training Calendar are meant for youth work community of practise: youth workers, youth leaders trainers, mentors, and others. Please read carefully the call for participants, including the expected profile of the participants. If you feel that the training fits to you, please explain in your application why you cannot refer to a specific organisation. You may also clarify this with the contact person of the call. 

The date of selection has passed, and I have not yet received a message. What shall I do? 

Please contact the contact person of the call. The contact details can be found to the right of the call page of the training activity that you applied for. 

Who makes the selection of participants? 

If the training activity is organised by a National Agency then the selection is done by the National Agencies of the countries of residence of the potential participants. To enquire about the selection process in a training activity organised by other organisations, please contact the organisers. 

Where can I find the contact details of my National Agency? 

You can find the contact details of all National Agencies here: https://erasmus-plus.ec.europa.eu/contacts/national-agencies. In some countries there are different National Agencies for different sectors; in such a case, please contact the National Agency responsible for youth. 

 

If you are interested in publishing a call in the European Training Calendar 

What are the criteria for activities to be published in the European Training Calendar? 

SALTO has put forward some minimum requirements on these offers: 

  • They should be European. 

They should be bilateral, trilateral or multilateral activities, which means that they must include more than one country. Calls looking for applicants from only one of the partner countries of the activity will not be activated; training providers should use communication measures in the respective country. 

  • They should be intended for the youth work community of practise. 

The youth work community of practise entails youth workers, youth leaders, trainers in youth work, staff involved in volunteering projects, etc. The training activities should support the development of the quality of (international) youth work, they should allow reflecting on "youth related" issues and/or allow youth workers to find partners for future projects with young people. This does not include youth exchanges or other activities primarily targeted at young people (see below for further information). 

  • They should be non-formal. 

Activities in the European Training Calendar should actively involve interested people on a voluntary basis and should provide them with opportunities to develop their professional and personal competences outside formal education and training systems. Even though they are not part of any formal educational curriculum, these activities should be characterised by a carefully planned educational programme. 

  • They should be open. 

The recruitment procedure should not be concluded, so that interested people are still invited to apply for participation. 

The usual entrance age for such projects is 18 years, otherwise the organiser needs to be aware of possible legal implications. 
There is normally no upper age limit to such projects, unless defined by possible formal criteria of a funding programme or there are specific pedagogic reasons for this. In any case, the reason for an ‘up to’ age limit should be explained in the call. 

  • They should be non-profit. 

Participation fees should be reasonable. Reimbursements, e.g., for travel expenses, board and lodging, visa costs, insurance, etc. should be clearly explained in detail in the calls to allow potential applicants to decide whether to apply or not. 

  • The financial conditions for applicants must be clear 

The call should include clear information in section: Costs for accommodation, food and travel will be covered and if a participation fee is requested.  
In case the organiser applies for a grant from e.g., the EU Erasmus+ Youth or European Solidarity Corps Programme or from the Council of Europe, the application must be granted before the call can be launched in the training calendar. It is not enough to indicate in the call that the travel reimbursement is based on the distance calculator, the organisers will need to indicate the distance and the amount it corresponds to, even if zero Euros. 

  • They should be announced well in-time and all applicants should be informed about the selection result. 

Calls to be launched in the SALTO Training Calendar should allow at least 2 weeks to apply, and the application deadline should be at least 2 weeks before the start of the event. Applicants will need to check availability, apply for a mission permission or holidays. Calls for international projects usually include partners to negotiate the final participants list. And finally, selected applicants might need time to apply for visa, book tickets, etc.; all this requires time. 
However, these minimum periods do not apply to online courses that only require registration (without any application and selection process). 

All applicants deserve information about the selection result. Applicants invest time and efforts to fill the application form; you should at least send them a short note even their application was rejected. 
 
We do not accept "first comes, first serves" selection approaches known from commercial advertisement. Organiser should set a deadline to apply and after this deadline organisers should make a qualitative selection. 

  • They should be submitted to the European Training Calendar in English

The SALTO website is in English. Consequently, the calls for applicants should be published in English to allow all users of the calendar to understand the offers. The application form and further documents which may be attached to the calls can be in any other language. Because almost all offers in the calendar have English as working language, please highlight the working language as good as you can in the text of the call, in case it is other than English. 

  • If they have been funded by certain programmes, they should clearly comply with the requirements of these programmes. 

If we notice a clear contradiction between the funding rules or the quality criteria of the respective funding programme and the description of the project, we will not publish the call. 

SALTO reserves the right not to publish calls which do not respect these minimum times. 

 

 

What cannot be published in the European Training Calendar? 

The following activities are not eligible for the European Training Calendar: 

  • statutory meetings of organisations 

  • holiday travel 

  • youth exchanges or other projects with young people as target group who do not plan to apply their learning in youth work being back home 

  • performance tours 

  • competitions 

  • activities which can be regarded as tourism 

  • activities which aim to make financial profit 

  • workcamps 

  • sports activities without connection to youth work 

  • cultural activities without connection to youth work 

  • calls for partners and/or funding  

  • internships 

How do I place my international training offer (call) to the European Training Calendar? 

To can add a new training offer to the ETC on https://saltonetwork.eu/new-activity#no-back. You need to indicate specific information regarding the training offer as well as select an application procedure and, if wished, create an application form in this platform. Please save the completed forms. When ready, please submit the call. After your training offer has been editorially checked, you will either be requested to adjust details of your call or will be informed by automatic reply that it has been activated and is currently online. 

What do I need to consider in terms of data protection in my call? 

Since you collect personal data with the application form, a couple of things are to be kept in mind. Personal data should only be collected if required for a specific purpose. This means that you should only ask questions directly related to the selection of participants and not collect sensitive data from all applicants. Please consider for every question whether it is relevant for the application procedure or whether it is information you can collect once the participants are selected. 

Data related to the practicalities of the training, for example special needs or emergency contact info should be collected once the applicants are selected as participants. 

The following questions are not permitted in the application form 

  • home address 

  • birthday (instead you might ask for the age the applicant will have during the training) 

  • nationality (you can however ask for country of residence) 

  • passport or ID details 

  • emergency contact details 

  • social media accounts 

  • dietary needs 

  • other special needs 

 

Additionally, please don’t ask applicants about feeling disadvantaged or if they face fewer opportunities. Of course, you can welcome and even motivate in your call youth workers with fewer opportunities to apply. However, we should avoid asking applicants to indicate in their application form whether they might feel disadvantaged or face fewer opportunities. These are very personal and subjective questions and some persons might feel offended being asked. Hence, even though your reasons might be to make sure to take them into account, we cannot support a call formulating things in a too intrusive and/or limiting way. Furthermore, offers in the ETC are directed towards trainers and youth workers, potentially working with young people with fewer opportunities – however, they don’t necessarily have to face fewer opportunities themselves. 

A more general and open question about whether the applicant has anything to share that the organisers should know that can have an impact on their participation in the course (especially if logistical), would be more appropriate. 

Can I choose a section of countries of which the participants should come from? 

Yes, you can specify the countries within the call for participants. 

 

Resources 

What is the Resources database? 

The Resources database holds a collection of resources useful for training activities in the youth field. They can be of various types: energisers, exercises, (powerpoint) presentations, background & reflection texts, videos, etc. They can be about various topics relevant for youth work. 

How can I publish a resource? 

You can contribute to the Resources database by adding a new resource here: https://saltonetwork.eu/new-resource#no-back. Please make sure your resource complies with the rules of the Resources database (listed in the next question). 

When submitted, the SALTO administrator will get an automatic notification and after a quality check and if needed, revision, we will publish the tool.  

What are the rules of the Resources database? 

If your resource includes work created by others, it is your responsibility to ensure that your use falls within the terms of any license associated with that work. If there is no clear licence permitting the use, it is your responsibility to obtain permission from copyright holders or their representatives as appropriate. Failure to do so may constitute an infringement of copyright and lead to penalties.  

Make sure your tool hasn't already been added by another user to avoid unnecessarily burdening the site. You can use the search function to check if your tool is already listed. 

Please don't add training course (or seminar) reports. If there are tools for learning within the report that you would like to share, please extract the information about the tools and enter that specific information into the database.
